CT Scheduler Overview

CT Scheduler is a powerful, robust desktop scheduling application that enables your staff to manage your office's schedule according to your specifications. Set up your provider schedule just the way you want it--- each provider at your practice can configure their schedule according to their unique lifestyle. Customize provider and room schedules with advanced appointment governor rules. Use CT Scheduler to easily create the kind of practice that you want.

To open CT Scheduler, click the CT Scheduler icon in the Launcher.

After logging in, the main CT Scheduler screen appears. Use the red reference numbers on the image below to learn about the sections of the screen. Descriptions for each section are below the image.

The toolbar contains these main function buttons:

  • Use the View button to change the view of the Scheduler’s main screen, or work area. The text shown in parenthesis is the current view shown in the work area.
  • Use the Schedule Appointment button to access the Schedule Appointment dialog box and create new appointments.
  • Use the Print button to print out or export the information contained in the work area.
  • Use the Contact Manager to maintain your list of scheduled patient calls.
  • Use the Configure button to configure your CT Scheduler settings.
  • Use the Appointment Requests button to view appointment requests from the Patient Self-Scheduler.
The heading lets you know which type of scheduling view is displayed. The headings will change with each view. Depending on the type of view displayed, your work area may have two headings.
The Time column breaks down the daily schedule into time increments.
The Work Area is broken down into color coded segments that correspond to the time column. The work area displays individual appointments and events. Each appointment and event has its own color coded display box containing details and icons.
Use the Today button to immediately toggle back to the current day’s schedule.

The Calendar lets you navigate through past and future dates. Use the scrolling arrows to view appointments and events as far back in the past or in advance as you wish. Click a specific date within the calendar to bring up that day’s scheduling details in the work area. The calendar does not bring up any dialog boxes; it only serves to quickly change the view of the work area.

This area contains three buttons:

  • Provider Schedule - Configure each provider’s schedule in detail, including office hours, break schedule, standard appointment length, calendar setup and event scheduling.
  • Room Schedule - Configure settings for each room in your office.
  • Events - Create and view events for individual providers, rooms, or the entire office.

The Providers/Rooms section lists all of the providers and treatment rooms in your office. Depending upon your chosen work area view, this area will list rooms or providers.

This area contains 18 Schedule Book buttons included under group tabs. Your Schedule Books contain unique configurations of different main-screen views that you create for future viewing. See here for further explanation.

This is the Details section. This section will display the details of an appointment and event. For appointments, this section may also display the patient’s picture, account information and appointment history.

This is the Appointment Statistics Panel. This section contains statistics that count the number of:

  • Scheduled appointments and walk-ins
  • The status of each appointment as:
    • Canceled or Rescheduled
    • Checked Out or Checked In
    • Missed and Arrived patients
  • New and Existing patients
  • Patient has a balance due
  • The appointment is a split room appointment

The Appointment Statistics Panel also displays icons. These icons appear within the appointment boxes shown in the work area to give you a quick reference when glancing at appointments. Icons are displayed for:

  • Patients with a balance due
  • Split room appointments
