History
The History section is where you view various aspects of past campaign and message activity. The History section includes:
- Campaign History
- Message History
- Error History
- Usage
In this screen you can see all your campaigns that have run or have attempted to run, with a total-counter above the list. The fields are explained below.
Campaign Name – each active campaign run is added to the list after the run begins:
- Reminder campaigns for day-before and earlier will run daily at 1:00 PM; same-day campaigns will run throughout the day at regular intervals
- Birthday campaigns are run daily at the time of day you specified for each
- Retention campaigns run repeatedly according to their various schedules
- Blast campaigns are not ongoing campaigns as are the other campaigns—they only run once at the date and time you specify, and then they switch automatically to Inactive status
Note that campaign runs do not necessarily result in messages being sent. It means that the campaign performs an activity where it determines if messages are required at that time. Some days this might not be required. For example, there may be days when none of your patients have a birthday, or there are no appointment reminders to go out.
Type – campaign type: Reminder, Retention, Birthday, or Blast.
Campaign Status – shows the current campaign ON/OFF status. "OFF" simply indicates that the campaign was ON at the time the campaign ran but has since been set to OFF.
Run Date/Time – the date and time that the campaign began its run (see this page regarding SMS campaign-run durations). This time-stamp links to the run's list of messages in Message History.
Built – number of messages built in this campaign run.
Sent – number of messages sent that were successfully received by the server(s)—email and/or SMS—in this campaign run. You can explore the message details by clicking on the Run-Date/Time link.

Searching
You can search and filter the campaign list in various ways described below.
Search by Campaign Name
You can search by name for specific campaigns using this field. It does not require the whole name but does require that you start with the first word in the name or a portion thereof—it cannot search by wording found elsewhere within the name.
NOTE: Name searches can be combined with Type searches and Date-range searches.
Search by Type
You can search by campaign type or leave the selection at "All".
Search by Date Range
You can also search just by a date range. Select a "From" date and "To" date, then click Search.
Exporting the List
Click Export List to being saving the current list as an MS Excel spreadsheet file (.xlsx) .
This list shows all messages sent by the active campaigns, with a total-counter above the list. The three statuses indicated for messages are: Sent, In Progress, and Error (see here for more info on message status).
You can search and filter this list in a similar manner to searching campaign runs:
Searching
You can search and filter the messages list in a similar manner to searching campaign runs. With message history you have the following additional search parameters at your disposal:
- Patient name – the intended recipient of the campaign message
- Channel – Email, Text, or Both
- Status – Sent, In Progress, Error, or All
This section also includes an Update Message History button that you can use to update the information in the Status column instantly. (This column is updated on a periodic basis, normally.)
Accessing Message History from the Campaign History Screen
As an alternative to performing a search, you can also access message histories by clicking campaign "Run Date/Time" links under Campaign History:
Additional Message Information
In addition to targeted recipient, sent date, and so on, you can click the Info button – – to reveal addition information about the message, which contains the message's current status. For example:
Click OK to exit the Message Details window.
How Displayed Status in the Table Relates to "Info" Message Status
For reference, here is how the high-level status types displayed in the Status column correspond to the more granular values seen in Message Details. Note that the message details show message statuses returned by the email and SMS providers as the messages move through their life cycles.
Email Values:
DISPLAYED STATUS | RETURNED MESSAGE STATUS |
In Progress | Queued Accepted Sending Sent |
Sent | Delivered |
Error | Undelivered Failed |
SMS Values:
DISPLAYED STATUS | RETURNED MESSAGE STATUS |
In Progress | Received Processed Deferred |
Sent | Open Click Delivered |
Error | Bounce Dropped Spamreport Unsubscribe Group_unsubscribe Group_resubscribe |
Error History is a basic log of errors that have been generated by InTouch.
Error Details
Selecting any given error will display an expanded description of the Alert in the text box below. This information can be used by your IT support to troubleshoot any network or connectivity issues you might encounter.
The Usage page shows your usage of texts for the current billing cycle (typically this is per month). You are allowed 2000 texts per billing cycle. Going over this number increases your cost.
NOTE: Remember that each "text" is 160 characters, maximum. If a message runs to 161–320 characters it counts as two SMS messages, from 321–480 characters it counts as three messages, and so on.
Also note that your SMS messages sent through the Front Desk > Messages tab and SMS messages sent to you from patients via CTInTouch are being counted as well.
